Presentation Instructions (Oral and Poster)
The forum will highlight the important role of NOAA EPP/MSI and academic partners of the four Cooperative Science Centers as well as the role of scientific, social science, and natural resource managers. Students, faculty, scientists, and policy makers are encouraged to submit abstracts for oral and poster presentations of scientific and social science topics. The program will include plenary sessions, poster sessions, student development activities, and concurrent scientific sessions focused on NOAA’s Mission Goals which are:
- Healthy Oceans – Presentations can include topics such as: fisheries, habitats, ecosystems, and physical processes of marine, coastal, and Great Lakes environments;
- Weather-Ready Nation – Presentations can include topics such as: climate and weather monitoring and forecasting, protection of life and property during high-impact events, freshwater resource management, and air quality;
- Resilient Coastal Communities and Economies – Presentations can include topics such as: ocean and coastal planning and management, coastal water quality and consequences on human health and coastal ecosystems, and community readiness for coastal hazards; and,
- Climate Adaptation and Mitigation – Presentations can include topics such as: scientific understanding and impacts of the changing climate system, climate mitigation and adaptation, and climate literacy.

– Please use standard screen format (4:3).
– Please have a title page with names of authors and their Institutional and Cooperative Science Center affiliations (if applicable) and “NOAA EPP/MSI 10th Biennial Education and Science Forum” noted.
– Please have a final slide with acknowledgements including relevant project grant number(s).
– Unless otherwise specified, the total time for presentation and Q/A is 15 minutes. Please take this time into consideration and make sure that your presentation is NO LONGER THAN 12 minutes (10 min preferred); This will leave time for Q/A. This limit will be strictly enforced.
– Please have your presentation ready for upload by Monday, March 23, 2020. You will receive instructions for upload. It is important that the presentations are uploaded in a timely fashion as there may not be time for on-site uploads during the event. All presentations will be loaded onto Forum equipment by Forum staff prior to the Technical Sessions. No personal laptops will be used for presentations and no one is permitted to load their own presentation.
– Equipment: Each presentation room will have a dedicated computer, projector, timer and pointer, as well as student(s) to help facilitate the sessions.
– Forum Software: PowerPoint files will be displayed on dedicated on-site computers using Microsoft Office. Please ensure your files are compatible with this software version. If you use an Apple computer or any program other than Microsoft Office to create your presentation, please test your presentation on a personal computer running Microsoft Office or create a PDF file, prior to uploading your slides to ensure that your fonts and animations display correctly during your final presentations
– Font: It is also highly recommended that you use standard fonts (Arial, Times New Roman, etc.), and reduce the resolution of images to keep your total file size as small as possible.
– Location: Poster presentations will be held in the Al Lawson, Jr. Multipurpose Center and Teaching Gymnasium. Poster presenters must set up between 2:00 PM to 6:00 PM on Sunday, March 29, 2020.
– Logistics: Supplies to mount poster will be made available at set-up. Each poster will be assigned a number to easily allow presenters to find the location for placement of their poster. Poster number assignments are grouped according to the Technical Session numbers and topics. Posters will be judged for best paper award and therefore must follow the poster numbers/space assigned for your poster. Forum staff will be on hand to assist with set up.
– It is recommended that you ship your poster to your hotel, to the attention of yourself. Please do not ship it to the Al Lawson, Jr. Multipurpose Center and Teaching Gymnasium is it can easily be lost.
– Open Session: Formal poster presentations will be from 5:30 PM to 7:30 PM on Monday, March 30, 2020. Poster judges will begin formal viewing of student posters at 5:30 PM all presenters must attend to present their posters.
– Poster Size: Posters should be no larger than 36 inches wide and NO MORE THAN 48 inches in height.
– Breakdown: All posters must be removed by Tuesday, March 31, 2020 by 5:30 PM. Unclaimed posters will be disposed of. Organizers are not responsible for any unclaimed posters.
– Title: Please have a title with names of authors and their institutional and Cooperative Science Center affiliations, and “NOAA EPP/MSI 10th Biennial Education and Science Forum” noted at the top of your poster slide.
Guidance to Students for Oral and Poster Presentations
The following guidelines are offered to students for preparing oral and poster presentations. They are similar to the criteria that will be used by the oral and poster judges to rank/score student presentations. There will be three judges for each oral and poster presentation in each Technical Session.
• Clear and meaningful introduction;
• Clear and concise “methods and materials”, project description, and summary/conclusions;
• Readable and well-designed slides, including figures and tables;
• Avoid reading the slides;
• Knowledge of the topic/presentation.
• Well organized poster to include correct sequence, clear labels, clean design format;
• Clear problem/hypothesis formulation;
• Meaningful introduction of project;
• Clearly stated materials and methods;
• Correctly displayed and easily interpreted data;
• Clearly stated and relevant conclusions.

Please add the following to be included in acknowledgements sections for oral and poster presentations:
